eBay shipping supplies: what to keep on hand

5 min read

Start small. Two mailer sizes, three box sizes, tape, wrap, a scale, a tape measure and a label printer. Add a size only after you've run out of it twice.

eBay shipping supplies do three jobs: protect the item, keep the package small, and get the weight and size right before you list. The list below covers all three without a garage full of box sizes you guessed at.

What supplies does an eBay seller need?

An eBay seller needs eight shipping supplies to start: poly mailers, plain boxes, cushioning, tape with a dispenser, a shipping scale, a tape measure, a label printer and clear poly bags. The scale and the tape measure matter most, because the weight and box size you enter set the shipping price.

What to keep on hand
SupplyWhyHow much
Poly mailers, two sizesSoft goods, with almost no box to pay forThe size you use most, and one larger
Plain boxes, three sizesRigid and fragile items. USPS's free boxes don't work for Ground AdvantageSmall, medium, and one long or flat
Bubble wrap or kraft paperCushion and void fill at almost no weightOne roll of each
Packing tape and a dispenserSeals every seam, faster and neater than a loose rollTwo rolls plus the dispenser
Shipping scaleWeight to the ounce. USPS rounds up to the next pound past 15.999 ozOne
Tape measureUSPS, UPS and FedEx round each side up to the next inchOne
Thermal label printer or label sheetsClean labels the carrier can scanOne
Clear poly bagsKeeps items dry inside the boxA pack in two sizes

That's a short list on purpose. A rule of thumb: past it, additions are for one category or for a problem you haven't had yet. Track what you use for two months, then buy that size in bulk.

Which free USPS boxes can you use?

USPS's free boxes and envelopes are for Priority Mail and Priority Mail Express only. They're free “when used as intended,” in USPS's words. Put a Ground Advantage label on one, or even seal a Ground Advantage box with Priority Mail tape, and USPS charges the Priority Mail price. For everything else, including USPS Ground Advantage, you buy your own boxes, and there are rules on which boxes Ground Advantage accepts.

Which mailer and box sizes trigger extra fees?

Mailer size triggers extra fees at UPS and FedEx before it does at USPS. As of September 2026, a soft pack longer than 18 inches adds Additional Handling at both, while USPS starts charging at 22 inches long and adds a fee for poly bags whose contents can shift.

UPSSoft pack over 18 in long, 14 in wide or 6 in highAdditional Handling

Should you reuse boxes for eBay orders?

USPS says no to reusing mailing boxes. Its FAQ says they weaken in shipping. If you reuse one anyway, remove or black out any liquor, wine, beer, cosmetics or cleaning supply markings, or USPS employees have to treat the box as if it holds what the markings say. Cover every old label and barcode so the only one a scanner can read is yours. Sources: USPS FAQ “How do I Use or Reuse Boxes Properly?” and the usps.com packages page, checked September 23, 2026.

Does packaging weight change the shipping cost?

Yes. Packaging weight counts toward the USPS price, and it's easy to miss. USPS charges Ground Advantage packages over 15.999 ounces by the pound, rounded up, and rounds Priority Mail up to the next pound too. Example: a 15.5 oz item plus 2 oz of mailer and wrap is 17.5 oz, which bills as 2 pounds.

One 2026 change runs the other way. Since July 12, 2026, commercial Ground Advantage charges the same price for anything up to 15.999 ounces: $6.93 in Zone 1, whether it weighs 4 oz or 15 oz. Shaving ounces under a pound no longer saves money on those labels. It still matters at the one-pound line.

How much presentation is worth paying for?

A tidy package with the item folded in tissue costs very little. Printed cards, ribbon and branded stickers cost more, and their effect is harder to measure. A rule of thumb for a small seller: arrive undamaged, arrive on time, arrive tidy, in that order. A buyer whose item arrives damaged can return it for a refund even if your listing says no returns, and you pay the return shipping. Tidy is the cheap one.

What supplies do I need to start shipping on eBay?
Poly mailers in two sizes, plain boxes in three, bubble wrap or kraft paper, tape with a dispenser, a shipping scale, a tape measure, clear poly bags and a label printer. A rule of thumb: more box sizes than that is storage, not coverage.
Can I use free Priority Mail boxes for eBay orders?
Yes, for Priority Mail labels only. USPS's free boxes are for Priority Mail and Priority Mail Express. If one goes out with a Ground Advantage label, USPS charges the Priority Mail price.
Can I reuse boxes for eBay shipping?
USPS's FAQ says not to reuse mailing boxes, because they weaken in shipping. If you do, black out any liquor, wine, beer, cosmetics or cleaning supply markings and cover old labels and barcodes.
Does packaging weight affect shipping cost?
Yes. USPS rounds Ground Advantage packages over 15.999 ounces and all Priority Mail up to the next pound, so a couple of ounces of wrap can add a pound. Weigh the sealed package, not the item.
